Key Responsibilities
- Provide day-to-day administrative support to the HR Advisors.
- Prepare HR correspondence, including letters relating to employment changes, probation, absence, flexible working and other employee matters in accordance with policies and procedures.
- Maintain and update HR templates, forms and standard documents.
- Ensure employee files and HR records are accurate, complete and up to date.
- Assist with filing and maintaining both electronic and, where applicable, paper personnel records.
- Support the preparation of HR reports and spreadsheets.
- Support the employee onboarding experience by producing and distributing onboarding paperwork.
- Respond to routine HR queries and direct more complex matters to the appropriate HR Advisor.
- Support the administration of the company's HR information system.
- Update employee records, including starters, leavers and changes to employee details.
- Assist with maintaining accurate absence, holiday and other people data.
- Carry out routine data checks to identify missing or incorrect information.
- Arrange HR meetings and send calendar invitations.
- Prepare meeting documentation and supporting paperwork.
- Attend meetings where required and take clear, accurate to relevant attendees within agreed timescales.
- Type and distribute meeting notes promptly.
- Assist with formatting and updating HR policies, procedures and guidance documents.
- Help maintain the HR document library and ensure current versions are available.
- Support the digitisation and organisation of HR templates and forms.
- Maintain confidentiality when preparing, maintaining and distributing information.
